Your Office Printer: The Hidden Cybersecurity Risk You’re Ignoring

If I asked you to name the biggest cybersecurity threats in your office, you’d probably say phishing e-mails, malware, or weak passwords. But what if I told you that your office printer — yes, the one quietly humming in the corner — could be one of the biggest vulnerabilities in your entire network?

It might sound surprising, but hackers love printers. Most businesses don’t realize how much of a security risk they pose — until it’s too late. In a 2020 experiment, Cybernews tested 50,000 printers worldwide and successfully hacked 56% of them, prompting devices to print out a warning on printer security. That’s nearly 28,000 compromised devices, all because businesses overlooked this “harmless” piece of equipment.

Why Are Printers A Target?

Because printers are a treasure trove of sensitive data. They handle everything from payroll documents and legal contracts to confidential client information. Yet, many businesses leave them wide open to attack.

Here’s why that’s dangerous:

  • Printers store sensitive data: Every time you print, scan, or copy, your printer keeps a digital record. Many models have built-in hard drives that can store years of documents, from employee records to financial statements. Hackers gaining access can steal or even reprint those files.

  • Default passwords are easy prey: Printers often ship with default admin logins like “admin/admin” or “123456.” Many businesses never change them, making it simple for hackers to take control.

  • Printers are a backdoor to your network: Once connected to Wi-Fi or your corporate network, a compromised printer can become an access point for malware, ransomware, or data theft.

  • Unsecured print jobs can be intercepted: Without encryption, hackers can capture documents in transit — exposing sensitive contracts, HR files, or medical records.

  • They can spy on your business: With features like scan-to-email, hackers can remotely access stored files or even monitor scanned documents.

  • Outdated firmware creates security gaps: Like any device, printers need regular updates. Without them, they remain vulnerable to known exploits.

  • Improper disposal puts you at risk: Discarded printers often contain residual data on their hard drives, leaving you exposed to data mining and potential legal liabilities.

How To Protect Your Printers From Cyber Threats

Securing your printer is just as important as securing your computers and servers. Here’s how:

Change Default Passwords
Swap out factory-default credentials for strong, unique passwords, just like you would for your email or financial accounts.

Keep Firmware Up To Date
Manufacturers release patches to fix security flaws — don’t ignore them. Check for updates regularly or have your IT provider manage this.

Encrypt Print Jobs
Enable features like Secure Print or end-to-end encryption to prevent sensitive documents from being intercepted.

Control Access
Set up user permissions or PIN codes, especially for confidential print jobs. For guests, create a separate, limited-access option.

Clear Stored Data Regularly
Manually delete stored jobs and ensure any onboard hard drives are encrypted. Before recycling a printer, wipe or physically destroy its storage.

Use A Firewall
Segment printers behind a firewall to keep unauthorized users out.

Monitor Printer Logs
Work with your IT team to track printer activity. Watch for unusual patterns like after-hours use, failed login attempts, or large-volume jobs.
